Switching

Moving from another HR or payroll system.

We set up your workspace with you, import what your old system can export, and run one month side by side before you rely on it.

We set up every workspace with you, a few at a time, so your first payroll run is right. No card needed.

How a move goes.

In this order, with our team beside you. How long it takes depends on what your old system can export.

  1. We set up the workspace with you.

Your companies, sites, departments, the work week, leave types and the statutory registrations each site needs.

  2. Import your roster from CSV.

Map your columns once, then see every row before anything is saved: new, already here or duplicated in the file, with each manager matched or flagged. An unknown department or manager is flagged, never guessed.

CSV, up to 1,000 rows at a time. PAN, UAN and bank numbers are encrypted as they are stored.

Importing employees from a CSV: a preview of each row before anything is saved, with the row that has a problem flagged.
  3. Bring salaries and opening leave balances.

The salary import sets each person's pay and components from a date, and can carry each leave type's opening balance in the same file. Or download the bulk salary sheet, fill it in and upload it; the server works every row out again and shows each change before it applies, and you can undo a whole upload until a pay run uses it.

Salaries import only for people already on the roster.

Salary sheet preview: each uploaded change shown against the current figure before anything is applied.
  4. Documents: upload, or link where they live.

Upload each employee's documents, or add a link to where the file already sits, such as Google Drive, OneDrive, SharePoint, Dropbox or Box.

Documents upload one file at a time; a link is stored, the file isn't copied.

  5. Switching mid-year.

For each person who joined you mid-year, record their previous employer's income and TDS so tax for the rest of the year is projected correctly. Past months' attendance can be uploaded as monthly totals or day by day.

There is no bulk import of year-to-date payroll registers; months with no run here are projected at the current month's pay.

  6. Run one month in parallel.

Run the same month in both systems and compare the registers line by line before your first live payroll here.

  7. Go live.

Run payroll, generate the statutory files and upload them as you do today.

What you keep

Keep your old system's exports for your records. And if you ever leave us, the workspace owner can download a ZIP of everything the workspace holds — every table as CSV, each pay run's register, the letters and the uploaded files — at any time.
